Follow-up Assistant

Keep the conversation moving. Stop when they reply.

Follow up on eligible enquiries and existing conversations with messages your team approves. Follow-up Assistant tracks replies, opt-outs, and activity so the next email does not go out after the conversation has moved on.

THE STARTING SCOPE

Know what you are getting.

B2B service teams managing warm enquiries, proposals, or existing conversations through one mailbox and a clear list or CRM stage.

Included in your implementation

  • One authenticated mailbox, one contact source, and one sequence of up to three steps.
  • Owner-approved templates, scheduling rules, and an activity history.
  • Reply, opt-out, bounce, and closed-opportunity stops, plus a manual pause control.
  • A 30-case acceptance test and a scoped ceiling of 500 eligible contacts per month.
  • An initial live cap agreed around account health, followed by documentation and handover.

What we need from you

  • An authenticated sending domain and supported account with the required permissions.
  • Approved recipients, permission or relationship records, and an existing suppression list.
  • Approved messages, timing, stop conditions, and an owner for incoming replies.

Outside the starting scope

  • No purchased-list blasting, inbox remediation, or promises of delivery and response rates.
  • Vendor sending limits and your account's health take precedence over the scoped volume.
  • Additional mailboxes, sequences, channels, or CRM branches require separate scope.

We confirm account compatibility, volume limits, and the delivery window before work begins. A written scope defines acceptance and any additional work. Scope reviewed September 19, 2026.

FROM REQUEST TO HANDOVER

How your workflow takes shape.

  1. Agree who gets what

Choose the eligible contacts, approved messages, timing, and events that should stop a sequence. We check account access and sender setup.

  2. Test every stop

The acceptance matrix covers replies, opt-outs, bounces, closed opportunities, retries, and the pause control before live sending begins.

  3. Start with a controlled batch

Review the initial live batch and activity records. Your team handles replies, while the workflow keeps the agreed follow-up schedule visible.

AFTER IMPLEMENTATION

Your workflow. A clear handover.

Access and ownership

We use customer-owned accounts where supported. Your agreement records data access, retention, the rights to delivered work, and any third-party restrictions. Handover covers the operating guide, agreed access, and the steps your team needs to run the workflow.

Care on your terms

Setup includes a 14-day correction window for delivered-scope defects. Optional care covers monitoring and minor changes within a written allowance during Philippine business hours. Care can end for the following billing cycle under the agreed notice terms. Without it, your team operates and maintains the workflow.

A FEW USEFUL ANSWERS

Before we get started.

Discuss your requirements
Does it really stop after a reply?

Reply detection is an acceptance requirement and is tested for your account. If that connection cannot be verified, the workflow stays in draft-only or manual-send mode. We do not enable unattended sending with an untested stop rule.

What are the recurring costs?

Optional care starts at $149 per month, with email and workflow tools billed separately. An illustrative $40 monthly tool budget would make recurring spend $189 before tax. Your account, volume, and agreed setup determine actual costs.

Can my team pause a campaign?

Yes. A pause control is included and tested against queued messages. You own the templates and contact eligibility. We confirm implementation timing after account access, message approval, and stop-rule feasibility are checked.
